O3Spaces' customers highly value the ease of use of O3Spaces Workplace according to a recent survey.

O3Spaces conducted a customer survey to find out which aspects of its Document Management and Collaboration Solution their customers valued the most. In the survey answers all kinds of benefits were named like O3Spaces Workplace's cross platform capabilities, the different integration possibilities, secure access and document management functionalities like version control and calendering. Improvement possibilities noted were the upcoming e-mail integration, meta tagging and workflow capabilities.

Nevertheless there was one positive aspect of O3Spaces Workplace that was named by all customers interviewed, its ease of use.

O3Spaces Workplace's 'ease of use' and it's 'end-user readiness' can be attributed to it's user-centered design (UCD). The Functional/UI Design Lead at O3Spaces, Johan de Fouw is practicing UCD because it is a design philosophy that focuses on the needs, wants, and limitations of the end-user of an interface during the design cycle. "Most document management applications are developed without the end-user in mind. We decided to do it differently, with the end-user user at the heart of our design process. Developing just good functionality is not good enough; offering good functionality with a great user experience is what we strive after."

As a result the training effort needed to make an end-user familiar with the application is very limited. End-users are able to work with the system after just half a day of training. That this philosophy works is underlined by the answers of O3Spaces' customers to the question why they chose O3Spaces Workplace:

"I tested several solutions and found the easiest to use was the O3spaces solution. I also saw the potential for future changes in O3Spaces to include features that we might need. Our users’ age and IT skills span a very wide range. We had to have a system that was simple to use and maintain."

"The end-user approach was a major driver for our decision. We are in a non-tech environment where people do not want to learn new applications. The little training effort needed was a big plus for us."

But not only the training time is limited due to the user-centered design. The installation and configuration according to O3Spaces' customers takes at the most two weeks. One customer adds: "The installation, configuration and implementation were all done in the same week." This makes O3Spaces Workplace a must for organizations who want to benefit from their Document Management & Collaboration solution right away without the need for an everlasting implementation project.

Workspace-, folder and file-links
A modest, but very usable novelty in 2.3.0 are workspace-, folder- and file-links that are available in the Workplace browser environment, as well as in notification messages. These convenient URLs facilitate easy communication and notification regarding workspaces, files and folders, giving users single click direct access to relevant information.

SURFnet recently conducted a Technology Scouting of the O3Spaces Workplace collaboration suite. The focus of this in depth product evaluation was on two main questions, namely:

  1. Is the O3Spaces Workplace software useful for the support of project groups and collaboration in an educational setting?
  2. How does O3Spaces score compared to the application that is already used by SURFnet for collaboration, MS Sharepoint?
As part of the technology scouting O3Spaces Workplace was evaluated by testing different scenario's that are characteristic for an educational setting. The results underline a principal O3Spaces Workplace value: easy of use. The SURFnet researchers found that very little end user training is required in order to orchestrate effective collaboration within project groups. According to the researchers, this can in part be attributed to O3Spaces' focus to concentrate on the primary collaboration functionalities as the basis for the Workplace product.

Strong advantages of O3Spaces Workplace, as highlighted in the report, are the support of mixed environments (MS Office AND OpenOffice.org/StarOffice; Firefox AND IE; Linux, Windows, Solaris AND MAC OS X), the desktop integration through the Workplace Assistant and the general ease of use.

Furthermore, O3Spaces Workplace was found to be a scalable product, well suited to support the different kinds of projects found in an educational setting. In big projects (with thousands of users) and smaller projects (such as collaboration within a single faculty) alike, O3Spaces Workplace proved to be well suited.

The survey concluded that, where Sharepoint is more of an 'anything for anybody' product, O3Spaces Workplace has a narrower focus on best of breed document management and collaboration functionality, resulting in a much more convenient and efficient delivery of functionality.

The City of Heerenveen (NL) uses and relies on an OpenOffice.org Web 2.0 work environment based on O3Spaces Workplace.
By implementing the newly released O3spaces workplace, including the integrated template and extension, the City of Heerenveen can now benefit from document management, collaboration, template management as an integrated part of their OpenOffice.org environment.

“The problem we as city encountered was the lack of integrated enterprise features as integrated template management, document collaboration and versioning”, says Johan Hiemstra, head of the ICT strategy office at the Heerenveen City council.
“A very important criteria regarding these features is the tight integration in the office productivity environment as that is considered as the key application everybody is using.”
“By migrating from Microsoft Office to OpenOffice.org we had to take our productivity environment to a higher level, so that the migration would not be perceived as a mere replacement but as a genuine improvement. The OpenOffice.org user doesn't need to leave the OpenOffice.org application or start another application. This effectively eliminates the borders between template management and document collaboration for teams, projects and departments. We are focused on the user and on the usability of the applications we use. The City of Heerenveen uses OpenOffice.org with O3Spaces Workplace for 500 seats.

The release of the Workplace 2.2b as a community edition is our answer to the demand from both OpenOffice.org users as well as the enterprise market for a publicly available full featured product edition.

O3Spaces Workplace 2.2b community edition incorporates a number of exciting key features.
The Community Edition is a free to use, fully featured Workplace solution for up to 10 team members. Furthermore, the Community Edition 2.2 can be seamlessly migrated with a Workplace Professional subscription. The O3Spaces Workplace 2.2b Community Edition is available as a number of new easy installers for various Linux and Windows Operating systems. It will also be available as a virtual appliance.

One of the striking new features, that was developed based on OpenOffice.org/StarOffice enterprise customer requests, is the new template-management module. This functionality addresses one of the few remaining OOo/SO enterprise blind spots. The module covers template storage, versioning, as well as, controlled distribution of templates to the end-user in one integrated system. Template management will be made available in the Community Edition 2.2-final

O3spaces Workplace provides document centric collaboration including real-time version control, check-in/check-out and document security.

The new key features for Version 2.1 are the significantly enhanced OpenOffice.org / StarOffice plugin and the new Microsoft Office plugin. The release of version 2.1 has both deepened and broadened the possibilities for document centric collaboration with O3Spaces Workplace.

For the OpenOffice.org & StarOffice suites the deeper integration means collaboration features such as comparing shared document versions, reviewing and adding document comments are now available to the user within the Office suite. The plugin also facilitates direct pdf-export of any ODF document to the Workplace.

Microsoft Office users can now also work with the O3Spaces Workplace collaboration features directly from within their Office suite. Mandriva now distributes O3Spaces Workplace as part of the Corporate Server 4 and Mandriva Linux Powerpack+ 2007 Spring editions. The cooperation also covers an extensive support agreement.
